MEMRY VAULT PRIVACY POLICY

- Purpose
The Memry Vault is a secure digital repository within the Memo platform designed to preserve the life, memories, history and legacy of the Primary User.
It enables authorised users to securely collect, organise, preserve and share family memories, photographs, videos, documents, audio recordings and other personal content that may help support reminiscence, communication, family connection and future generations.
This Memry Vault Privacy Policy (“Policy”) explains how Memry Corporation Limited (“Memry”, “we”, “our” or “us”) processes, protects and manages information stored within the Memry Vault.
This Policy forms part of the Memo Legal Framework and should be read together with the:

- Purpose of the Memry Vault
The Memry Vault has been developed to help families preserve the unique story of an individual’s life.
The Vault may be used to store and organise:
- life stories;
- family history;
- photographs;
- videos;
- voice recordings;
- favourite music;
- letters;
- certificates;
- legal documents selected by the user;
- memoirs;
- milestone events;
- future messages;
- family trees;
- reminiscence materials;
- personal collections;
- other digital keepsakes.
The Vault is intended to strengthen family connections and support meaningful conversations. It is not intended to replace professional document management or secure legal storage services.
- Information Stored
Authorised users may upload content including:
Photographs
Including:
- family photographs;
- historical images;
- albums;
- scanned prints;
- memorabilia.
Videos
Including:
- family videos;
- celebrations;
- interviews;
- reminiscence recordings;
- personal messages.
Audio
Including:
- voice recordings;
- family stories;
- music;
- spoken memories;
- greetings;
- recorded messages.
Documents
Including:
- letters;
- diaries;
- certificates;
- memoirs;
- recipes;
- historical documents;
- military records;
- newspaper cuttings;
- genealogy records.
Other Content
Including:
- captions;
- biographies;
- timelines;
- places;
- family relationships;
- meaningful dates;
- favourite quotations;
- personal notes.
Users remain responsible for ensuring that uploaded content is lawful and appropriate.
- Ownership of Content
Users retain ownership of all content they upload to the Memry Vault.
Uploading content does not transfer ownership to Memry.
By uploading content, users grant Memry a limited, non-exclusive, worldwide, royalty-free licence to:
- securely store the content;
- process the content;
- organise the content;
- display the content to authorised users;
- back up the content;
- maintain the functionality of the Service.
This licence exists solely for the operation of the Memry Vault.
- Family Contributions
The Memry Vault is intended to be collaborative.
Authorised family members, carers and other approved contributors may upload material where permitted by the Primary User or another authorised representative.
Contributors remain responsible for ensuring they have the legal right to upload material.
Users should respect the privacy and wishes of other family members before uploading information relating to them.
- Permissions
Memo supports different permission levels.
Depending upon authority granted, users may be able to:
- view content;
- upload content;
- edit descriptions;
- organise folders;
- create collections;
- share selected items;
- download authorised material;
- administer Vault permissions.
Permissions may be changed at any time by the Primary User or another authorised administrator acting lawfully.
- Sharing
The Memry Vault is intended primarily for sharing with authorised users.
Users may choose to share selected content with:
- family members;
- friends;
- carers;
- healthcare professionals where appropriate;
- other authorised individuals.
Users remain responsible for ensuring that sharing is lawful and appropriate.
Memry does not publish Vault content publicly unless expressly instructed by authorised users.
- Artificial Intelligence
Where authorised by the user, AI may assist with:
- organising memories;
- identifying themes;
- generating summaries;
- supporting reminiscence conversations;
- retrieving relevant memories;
- suggesting related content;
- improving search.
AI processing is carried out in accordance with the AI Transparency & Responsible AI Statement.
AI-generated descriptions and summaries may occasionally contain inaccuracies.
Users should review important information before relying upon it.
- Search and Organisation
To improve accessibility, the Vault may allow authorised users to organise content using:
- folders;
- albums;
- dates;
- family members;
- locations;
- events;
- keywords;
- categories;
- searchable descriptions.
Users remain responsible for verifying the accuracy of descriptive information.
- Privacy
Access to Vault content is restricted to authorised users.
Memry will not access Vault content except where reasonably necessary to:
- operate the Service;
- provide technical support;
- investigate security incidents;
- comply with legal obligations;
- protect users;
- investigate suspected misuse.
Where access is required, it will be limited to what is reasonably necessary.
- Security
Vault content is protected using appropriate technical and organisational measures, including:
- encrypted transmission;
- encrypted storage;
- authenticated access;
- role-based permissions;
- audit logging;
- security monitoring;
- secure backup systems.
Although we employ robust security measures, no online system can guarantee absolute security.
- Legacy Management
One of the purposes of the Memry Vault is to preserve an individual’s personal legacy.
Subject to applicable law and any instructions given by the Primary User, authorised representatives may manage the Vault following the death or loss of capacity of the Primary User.
Legacy management may include:
- preserving family memories;
- maintaining a memorial account;
- transferring administrative control to an authorised person;
- downloading family archives;
- closing the Vault;
- requesting deletion.
Memry reserves the right to request reasonable evidence of authority before granting posthumous or successor access.
Nothing in this Policy determines inheritance rights or ownership of intellectual property after death.
- Memorial Accounts
Where offered by Memry, a Vault may be converted into a memorial account following the death of the Primary User.
A memorial account may:
- preserve memories;
- prevent inappropriate alteration of historical material;
- permit authorised family access;
- continue selected sharing arrangements approved by authorised representatives.
The availability of memorial accounts may vary by subscription and jurisdiction.
- Future Messages
Where supported, users may choose to create messages intended for future delivery.
Examples include:
- birthday messages;
- anniversary messages;
- messages to family members;
- life advice;
- personal reflections.
Future messages will be released only in accordance with user instructions, applicable law and the operational policies of the Service.
Memry cannot guarantee delivery where circumstances prevent lawful or practical release.
- Deletion of Content
Authorised users may delete individual Vault items where permitted by their access level.
Deletion requests will normally be processed in accordance with the Data Retention & Deletion Policy.
Certain information may temporarily remain within secure encrypted backups until those backups are routinely overwritten.
- Account Closure
Where a Memo account is closed, the associated Memry Vault will normally enter the recovery period described in the Data Retention & Deletion Policy.
Following expiry of that period, Vault content will normally be permanently deleted unless:
- continued retention has been requested by an authorised representative;
- a memorial account has been established;
- legal obligations require continued retention;
- another lawful arrangement applies.
- User Responsibilities
Users agree to:
- upload only material they are entitled to use;
- respect the privacy of others;
- avoid uploading unlawful or offensive material;
- maintain appropriate permissions;
- comply with copyright and intellectual property law;
- ensure that information is accurate where reasonably practicable.
Users remain responsible for the content they contribute.
- Organisational Access
Professional users may access Vault content only where:
- authorised by the Primary User or lawful representative;
- necessary for the provision of care;
- permitted by applicable legislation;
- consistent with organisational policies.
Routine professional access to family memories should be limited to what is reasonably necessary to support the Primary User.
- Changes to this Policy
Memry may amend this Policy to reflect changes in legislation, technology or the continued development of the Memry Vault.
Material changes will be communicated through the Service or by other appropriate means.
